Meeting Room Rentals FAQ

How do I book a room?

The Rotary Community Room and Rotary Training Room can be booked online, by phone 780 357-7450, or email roombookings@gppl.ca.

The Willie Janssen Discovery Room can be booked by phone 780 357-7450 or email roombookings@gppl.ca only.

Why hasn’t my room been approved yet?

Please allow between 1-3 days for processing.

Do you offer room setup and take down?

No, room setup and take down are the responsibility of the lessee. Be sure to reserve enough time for setup and take down in your meeting room booking.

What are your room and equipment rates?

What equipment is included in my room booking?

Standard equipment included is shown under each room on the Meeting Room Rentals page.

Do you offer tech help?

Yes, please email roombookings@gppl.ca to request a tech setup appointment. Appointments are subject to meeting room availability. We do not provide tech setup and troubleshooting at the time of rental.

What software is available on the classroom laptops?

Classroom laptops come with the following software:  Google Chrome, Mozilla Firefox, Adobe Reader DC, iTunes, VLC, Gimp Photo Editor, Microsoft Office 2019 (Word, Excel, PowerPoint, Publisher).  Deep Freeze security software is used to restore the laptop to a base image after every reboot, thus removing any computer changes, documents, personal information, history etc.

What cables do I need to connect to the projectors?

All projectors have hookups for HDMI.  The following convertor cables are available ahead of time by request:  Display port to HDMI, mini-Display port to HDMI, USB-C to HDMI, VGA to HDMI. Please email roombookings@gppl.ca to arrange for convertor cables.

How can I change or cancel my booking?

Contact roombookings@gppl.ca or 780 357-7450.

What is the cancellation policy?

Cancellations must be received within one week in advance of the meeting date. Cancellations received with less than one week’s notice of the meeting date will be subject to a cancellation fee of 50% of the invoiced cost.

Can I serve food and drink while using the meeting rooms?

All food and drink must be supplied through Jeffery’s Café Co. You can contact them at 780 539-3131 or catering@jefferyscafe.ca.

Can I make a series of bookings for classes or workshops?

Please email the details of your series to roombookings@gppl.ca.

Can my rental time fall outside of Library hours?

Please contact roombookings@gppl.ca.

Can my rental be included on the library calendar?

No, the library calendar is for library programs only. You may drop off a poster or notice to the Ask Desk to be included on the Community Events board.
